Constable Burton Reading Room Committee
Minutes of meeting held on 9th June 2015
Present: Anna Corbett, Stewart Ayers, George Tomlin, Jonny Handley, Mike Phillipson and Martina Miller
Apologies were received from Cathy Ayers and Hilda Dobson
Matters arising from the previous meeting held on 12th May 2015.
Bench by the Bus Stop. Anna advised that there had been no progress to date since the previous meeting. It was agreed that Derek Knight be asked to obtain quotes for materials needed and labour. Committee agreed to fund work upfront to enable materials to be purchased. The homeowner of Rose Cottage has given permission for Derek to store wood etc on the property.
Action: Anna to contact Derek and follow up and feeback at the next meeting.
Hauxwell Parish Event. Anna informed the committee that further discussions had taken place with members of Hauxwell parish and it was agreed that the Reading Room would not be a suitable venue for this particularf event.
Picnic Bench (The Green). Stewart has inspected the damaged picnic bench and judged it beyond repair. It was agreed that quotes be obtained for a replacement. To be discussed at the next meeting.
Action: Mike to obtain quotes
Grass Cutting The Green. Stewart advised the committee that Aaron (grass cutter) has requested that all stones/planters be moved prior to grass being cut. A discussion took place as to the possibility of puchasing a petrol strimmer to enable volunteers to keep The Green tidy to encourage more visitors.
Action: Stewart to obtain quotes for a basic petrol mower.
Pie and Peas Supper – held on Saturday 16th May 2015 was well atttended. This event achieved £145 income. Well done and thankyou to all volunteers and helpers for their time.
Afternoon Tea – held on Sunday 24th May 2015 was well attended. This event achieved £195 income, £10 donation. Well done and thankyou to all volunteers and helpers for their time.
Welcome Club/Reading Room Hire – As the welcome group no longer meet it was agreed that all publicity be removed from the Reading Room/website. A discussion took place on the Hiring Policy for the Reading Room. It was agreed that future bookings would incur a £5 non refundable deposit to minimise cancellations.

SPECIAL EVENT – Reading Room, Friday 26th June 2015 at 7 pm
Presentation, Dinner and Raffle
A presentation by Maj (Retd) George Tomlin MBE about his trek in the Langtang Valley in support of the Impact Foundation (Nepal) Earthquake Disaster Appeal.
George has produced Admission Tickets and Raffle Tickets at his own expense to support the cause. George has paid £40 to register the Reading Room for a non-commercial lottery licence for one year. George is the named person responsible for the promotion of tickets. A requirement of the licence is that a record is kept for three years detailing the total of proceeds made during the licence period. The committee agreed that George be reimbursed the licence fee.

Action: Help needed to sell admission tickets and raffle tickets. Mike to add to website.
Pre-event meeting has been arranged for helpers and organisers – Monday 22nd June 2015 at 6 p.m in the Reading Room.
Any Other Business
Mike advised that the Reading Room printer ink required replacing. It was further agreed that due to the ongoing problems with the laptop being slow, some more memory to be purchased and fitted. Mike agreed to action and be reimbursed.
